Certificates.Scot is hosted by East Ayrshire Council Registration Services and allows you to order a replacement copy of a Scottish Birth, Death, Marriage or Civil Partnership certificate.

All applications must be submitted online via the Certificates.Scot website.

Ordering certificates online

Ordering online is the only way to apply for replacement certificates. We do not offer an in-person ordering service at our office and we are unable to accept applications made by post or telephone.

Our online system is:

  • the quickest way to receive your certificate

Payments can be made via our secure online system using a debit card, credit card, or PayPal. 

While applications must be made online, our staff are available to assist customers who need help using the system.

Frequently asked questions

What certificates can I order?

Certificates are available for:

  • events registered in Scotland from 1855 to the present day
  • civil partnership certificates registered from 2005 to the present day

Please note that certificates will not be available if the event was registered outwith East Ayrshire within the last 12 months.

What certificates cannot be ordered?

The following certificates cannot be ordered via our service:

  1. A certificate from the Adopted Children’s Register in Scotland. Please visit National Records of Scotland: Ordering Certificates.
  2. A certificate for an event taking place in England and Wales. Please visit General Register Office for England and Wales.
  3. A certificate for an event which occurred in Northern Ireland. Please visit General Register Office for Northern Ireland.
  4. A certificate for an event which occurred within the last 12 months must be obtained from the Registrar in the District where the event was registered. For a list of registration services in Scotland please visit National Records of Scotland: Ordering Certificates.

How much does a replacement certificate cost?

The fee for a replacement certificate is £15 plus postage.

Additional copies of the same certificate ordered at the same time cost £10 each and are dispatched within five working days. 

What are the postage charges?

All our certificates will be dispatched using Royal Mail. Please allow an additional 10 working days for your certificate to arrive.

The charges are as follows:

  • UK First Class – £1.80
  • International – £3.60

Fast Track Same-Day Service

We offer a Fast Track Same-Day Service for customers who require their certificate urgently which is available for an additional fee of £15 per certificate.

Orders must be placed online before 11am and paid for no later than 12:30pm, and your certificate will be available to collect any time after 3pm on the same day. 

What information do I need to apply online?

You will need:

  • the full name of the person on the certificate
  • the year or date the event took place
  • the location where the event took place, for example where they were born
  • an email address

Will I receive a receipt?

Yes, you will receive an email confirmation of your transaction with your unique reference number.

When will my certificate be dispatched?

We will despatch your certificate within five working days of receiving payment for your order.

Please allow an additional 10 working days for your certificate to arrive.

Can I pick up my certificate at your registration office?

Hours for collection only are:

  • Monday to Thursday from 3pm to 4:45pm
  • Friday 3pm to 3:45pm
